The compose window is where the operator manually sends text, email or fax messages. The compose window has three steps: the message, the recipients and message settings.


The Message

The user can compose their message or open a previously saved message. In addition once the message is composed the user can save their message to their DiaryBook account to be used again.


As many message sent to clients can be of a direct marketing nature, DiaryBook has provided an opt-out option that the user can click. This feature gives the client recipient the option of opting out of any future messages from the user's account. See the Stop List System for more information.


As text messages are limited in size and charged per message block a running total is shown at the bottom of the compose section. The opt-out option takes up 18 characters of the message size.


If composing an email or fax message, the editor changes to a rich text editor that supports fonts, colours and layouts.


The Recipients

The user can send their message to individual clients, to individual addresses or to pre-defined client groups. A client search box makes it easy to find individual clients or to simply type in individual addresses. Alternatively, the user can select client groups from a grid on the right.


A running total in the status bar keeps track of the number of recipients selected.


A client record can contain more than one mobile number. When sending a text message the user can decide whether to use all available numbers (the default) or decide to use only the main number or only secondary number. For example: the main number may be of a patient while the secondary number may be the parent, guardian or carer. Buttons on the status bar allow the user to select which numbers to include. NOTE: this is only applicable when selecting client records.


Message Settings

The user finalises delivery options in the third step.


Sender ID

The sender ID identifies the sender. Sender IDs are programmed in to each DiaryBook account so the user can just select one from a list.


If sending a text message, the sender ID can either be a word up to 11 characters in length or a mobile phone number for replies.


If sending an email message, the sender ID is simply a reply email address.


If sending a fax the sender ID is the fax CSID (limit of 21 characters)


Date and Time

The user can either send the message immediately or select a date and time when the message is to go.

Handle Email Bounces

Emails that cannot be delivered bounce-back to the sender. To spare the user's inbox DiaryBook can automatically handle email bounce-backs. The number of bounce-backs are recorded in the message job.


Monitor Replies and Clicks

DiaryBook has the ability of keeping a record of the number of times the links inside the email are clicked and by which client. Also the number of replies are recorded while the replies are forwarded automatically to the sender ID address.
